Position Summary


We are looking for an Accounts Payable Specialist to join our team. The Accounts Payable Specialist is responsible for handling the company’s bills and managing the Accounts Payable ledger. This role is tasked with receiving invoices and logging them in Quick Books, managing company credit card spending, processing timely payments, and other duties including bank account reconciliations and expense report processing. The successful candidate will be detail-oriented and possess the experience and analytical skills to recognize and propose process improvements. This position reports to the Accounting Manager and will communicate daily with staff and management personnel throughout the company.


Primary Duties and Responsibilities

  • Review invoices for appropriate documentation and approval prior to payment
  • Prioritize payment of invoices based on payment terms and special situations
  • Process check requests
  • Record expenses to G/L accounts and cost centers for a high volume of invoices/expense reports/credit card charges
  • Maintain vendor profiles including W-9 verification; prepare 1099 forms annually
  • Reconcile vendor statements, research and correct discrepancies
  • Reconcile bank accounts and credit card statements
  • Prepare sales tax returns for multiple companies and states
  • Assist with ad hoc projects as needed


  • 3+ years of accounts payable experience
  • College courses in accounting preferred
  • Thorough knowledge of accounts payable/general ledger systems
  • Strong work ethic, problem-solving skills, and attention to detail
  • Knowledge of basic accounting principles
  • Excellent data entry, organizational, time management, and prioritizing skills
  • Excellent verbal and written communication skills
  • Experience handling vendor relationships
  • Proficient with Microsoft Word and Excel
  • Experience with QuickBooks Enterprise a significant plus


Compensation Details
